A professional headshot gives conference attendees something useful to take home. Delivering that experience takes planning, both at the photography booth and after the camera goes down.
For Spark Conference 2026, EV Agency combined professional headshot photography with custom software. We connected registration, photo selection, mobile editing, cloud storage, and email delivery in one workflow.
Attendees could review and adjust their photographs on their own phones. Behind the scenes, our team had tools to organise images, manage attendee records, and handle follow-up.
The Challenge: Managing Everything Around the Photograph
Each headshot came with a series of tasks. Collect the attendee’s details. Capture their photographs. Select the images. Match them to the right person. Prepare the finished headshot and send it.
Handled individually, those steps create repetitive work for the photography team. They also keep staff involved in tasks that attendees could complete themselves, such as choosing a crop.
We designed a connected process that would support the booth during the conference and help our team manage outstanding photographs afterward.

A Headshot Experience Attendees Could Finish on Their Phones
The experience started with a tablet registration form. Attendees entered their name and email address, creating a record for their photographs and delivery details.
Next came the photography session, using professional equipment and lighting. An operator then reviewed the captured images and selected up to three photographs through our custom Windows application, EV Photo Bridge.
Once those images were uploaded and linked to the attendee, a QR code opened their personal photo page.
From there, attendees could use their own phones to:
- Review the selected photographs.
- Choose their preferred image.
- Adjust the crop and brightness.
- Save their final headshot.
That meant the photography team could move on to the next person while the previous attendee reviewed their images independently.
After the attendee saved their final photograph, the system processed the image, stored it, and sent a personalised email with access to the finished headshot.
Custom Software That Connected the Process
We built the software around the practical needs of the photography team and attendees.
EV Photo Bridge handled incoming photographs. The Windows application watched the camera’s capture folder and made new images available for review. The operator could select photographs, associate them with an attendee, and upload them to cloud storage. Retry handling supported interrupted uploads.
A custom WordPress plugin powered the attendee experience. It handled registration, personal photo pages, crop and brightness adjustments, and email workflows. It also gave our team a central place to manage the process.
Nextcloud kept selected and finished photographs organised. Connecting storage to the attendee records helped the team manage files beyond the photography workstation, including post-event retrieval and follow-up.
Together, these tools reduced repetitive file handling and individual email preparation while keeping staff involved where their judgement was needed.
Tools for Post-Event Follow-Up
Live events also need a way to handle unfinished tasks.
The Spark Headshot Manager dashboard let our team search attendee records, review photo associations, check email sending activity, and identify records that needed attention.
For post-event processing, the system could compare photograph filenames with attendee records to suggest matches. Staff could review unresolved images and initiate bulk email sending for eligible matched records.
Some photographs still required manual identification, and some email restrictions needed investigation or resending. The dashboard supported that follow-up by bringing the relevant records and sending activity together.
The Outcome: A Connected Service and a Reusable Foundation
The project brought photography and custom software into one service. Attendees gained a way to review and adjust their headshots on their phones, while our team gained connected tools for registration, photo management, and distribution.
It also created a foundation we can adapt for future conferences and corporate headshot sessions, with a workflow that covers how people access, personalise, and receive their photographs.
